Invoice Report
Overview
Billing reports, often referred to as invoices, are essential documents in any business transaction. They detail the amount owed by customers and are crucial for tracking payments and ensuring financial transparency. As an admin, you have access to various billing reports to manage your customers’ payments effectively.
Steps to Access Invoice Reports
1. Navigate to Invoice Reports :

Login into the admin portal.

Navigate to the Reports section by clicking on the Reports icon in the portal menu.

Select the Invoice Report link to view the list of available invoice reports.

2. Available Invoice Types :
- Postpaid: Invoices generated after the service has been used, based on customer usage.
- Prepaid: Invoices related to services paid for in advance.

Key Features of the Invoice Report :
1. Filter by Client :
- Admins can filter invoices by selecting a specific client/customer. This helps narrow down results to only show invoices related to that particular client.
2. Filter by Invoice Status :
- You can filter invoices based on their status (e.g., Paid, Unpaid, Overdue, Pending). This feature is useful to quickly see which invoices need attention or follow-up.
3. Filter by Invoice Month :
- Admins can filter invoices for a specific billing month (e.g., September 2023). This is helpful for monthly financial reviews or audits.
4. Download Invoices (PDF) :
- You can download the invoice in PDF format for each client. This format is ideal for record-keeping and sharing with customers.
5. Download Invoices (XLSX) :
- You can download the invoice in XLSX format (Excel), which is helpful for further analysis or integrating into financial systems for processing.
6. Quick Search :
- A search field is provided to quickly find a specific invoice by typing in relevant keywords, customer names, or invoice IDs.
7. Refresh the Page**:
- The refresh button updates the displayed data to show the most recent status of invoices.
Example Scenario:

Task: You need to find all overdue invoices for September.

Steps:

Navigate to
Reports > Invoice Report
. -
Use the Invoice Status Filter and select "Overdue."

Use the Invoice Month Filter to select "September."

The system will display all overdue invoices for that month.

Optionally, you can download these invoices as a PDF or Excel file for further action.

Invoice Actions :
1. Download Filtered Invoices in PDF/XLSX Format :

Allows administrators to download invoices that match certain filters (e.g., date range, status).

Apply the desired filters (such as date range, customer name, or invoice status).

Click the Download button to save the filtered invoices in either PDF or XLSX format.

This feature is useful for exporting bulk data for reporting or record-keeping purposes.

2. Download Selected Invoice in PDF Format :

Enables the admin to download a specific invoice for a customer.
-
Select the desired invoice from the list.
-
Click the Download button to save the selected invoice as a PDF.
-
This is handy for sharing individual invoices with customers or keeping a personal copy for records.

3. Add Payment (Mark the Invoice Status to PAID) :
-
Allows administrators to mark an invoice as paid when a payment is received.

Select the invoice you want to mark as paid.
-
Click the Add Payment action.

Enter a description of the payment (e.g., payment method or transaction details).

Click the OK button to confirm.

- The status of the selected invoice will be updated to Paid.


- This helps in keeping the payment records up to date and ensuring accurate financial tracking.
4. Cancel the Selected Invoice :

Allows administrators to cancel an invoice that is no longer valid.

Select the invoice you wish to cancel.
-
Click the Cancel action.

- Confirm the cancellation by clicking the OK button.

- The status of the selected invoice will be updated to Cancelled.


- This feature is useful when an invoice is created in error or if the transaction is voided.
5. Generate Invoice :

Allows admins to convert a draft invoice into an active, due invoice.

Select a draft invoice from the list.
-
Click the Generate Invoice action.

- Confirm the action by clicking the OK button.

- The status of the selected invoice will be updated from Draft to Due.


- This is essential for making draft invoices payable and visible to customers for payment processing.
