Account Settings
Introduction
The Account Settings feature in admin portal provides an array of configurations and controls for managing customer accounts and resources efficiently. These settings allow admins to automate the suspension, reactivation, and deletion of resources based on account status, overdue invoices, and credit limits. The configurations are split into two major types: General Account Settings, which apply to both postpaid and prepaid accounts, and Specific Settings for Postpaid and Prepaid Accounts.
Account Settings Navigation :
1. Navigate to Account Settings Section :
-
Log into the admin portal.
-
Navigate to Billing in the menu, and select Account Settings from the options.

General Account Settings :
1. Account Suspension Days:
-
This setting automates account suspension when a customer fails to pay overdue invoices.
Example: If the "Account Suspension Days" is set to 5, the account will automatically be suspended 5 days after the invoice becomes overdue. This helps prevent extended non-payment periods by ensuring timely action is taken.
2. Resource Deletion Days:
-
This setting determines how long a customer's resources (such as VMs or storage) remain active before being automatically deleted when they fail to pay.
Example: If set to 30 days, customer resources (e.g., VMs, IPs, or storage) will be automatically deleted after 30 days of unpaid overdue invoices. This protects against resource misuse and frees up system resources.
3. Custom Offering Excess Cost:
-
This setting is used to control the auto-stopping of VM resources that are billed based on custom offerings. When a customer's usage exceeds the defined cost limit, the resources are automatically stopped.
Example: If the excess cost threshold is set to 10%, custom-offering VMs will automatically be stopped after the customer’s bill exceeds 10% beyond their credit limit. This ensures that customers do not overuse resources and incur excessive charges.
4. Resource Deletion Alert Type :
-
This feature sends alerts to customers notifying them of upcoming resource deletion. Alerts can be sent either daily or 1st day of the week.
Example: If set to daily, customers will receive a daily alert regarding the potential deletion of their resources. If set to 1st day of the week, they will receive the alert every Monday.
5. Overdue Resource Auto Delete / Prepaid Recharge Exceed Resource Auto Delete:
-
This enables automatic deletion of resources when either overdue invoices are not paid or prepaid balances are exhausted.
Example: If this option is enabled, the customer’s resources (VMs, storage, etc.) will be automatically deleted when they either reach their overdue limit or exceed their prepaid balance without recharging.
Postpaid Account Settings:
1. Credit Limit :
-
This sets the default credit limit for newly signed-up postpaid customers. The credit limit defines how much a customer can spend before further action is taken (such as auto-stopping VMs).
Example: If the credit limit is set to $100, new postpaid customers will have a monthly spending cap of $100 before further restrictions apply.
2. Trigger Alert on Credit Limit :
-
Sends an alert to customers when their usage nears the set credit limit. This helps prevent customers from exceeding their limit unknowingly.
Example: If set to 90%, customers will receive an alert when 90% of their credit limit is reached. For a $100 credit limit, the alert would trigger at $90 in usage.
3. Overdue VM Auto Stop :
-
If enabled, VM resources are automatically stopped when an invoice is overdue.
Example: If a customer has not paid their overdue invoice, their VMs will be auto-stopped to prevent further usage without payment.
4. Overdue Account Auto Enable :
-
Automatically re-enables suspended customer accounts once they have paid their overdue invoices.
Example: Once a customer pays their overdue bill, their account will be re-enabled automatically, without the need for admin intervention.
5. Overdue / Credit Limit Account Auto Suspend :
-
This suspends accounts that either have overdue invoices or have exceeded their credit limits.
Example: If a customer fails to pay an overdue invoice or exceeds their credit limit, their account will be automatically suspended to prevent further charges.
6. Credit Limit Exceed VM Auto Stop :
-
Automatically stops the customer’s VM resources when their usage exceeds the assigned credit limit.
Example: If a customer's spending surpasses their credit limit, their VMs will be stopped automatically to prevent overuse.
Pre-paid Account Settings :
1. Trigger Alert on Prepaid Usage:
-
Sends an alert to customers when their prepaid balance reaches a specified threshold.
Example: If set to 75%, customers will be alerted when they’ve used 75% of their prepaid balance. This allows them to top up before their balance runs out.
2. Prepaid Balance Exceeds VM Stop, Account Suspend, and Enable:
-
Automatically stops VMs and suspends the customer’s account when their prepaid balance is exhausted. The account is automatically re-enabled once they recharge their prepaid balance.
Example: If a customer’s prepaid balance reaches zero, their VMs will stop, their account will be suspended, and the account will be automatically re-enabled once they recharge.
